When you contact us through the website, subscribe to updates, or send an inquiry, we may collect the information you provide, including:

- Organisation type and your role, for example coordinator or partner
- Website, programme or call, and project deadline
- Current project stage and the support areas you request
- Documents you indicate you have and any budget range you choose to share
- Message content you submit
- Consent records and the date and time of submission
If you become a client, we may also process project documents, proposal materials, reporting information, administrative records, communication records, and other information necessary to provide agreed services.
We do not use cookies or tracking technologies on this website, and we do not knowingly collect special category data through our forms.
3. Why we collect it and our legal basis
We process this information to respond to inquiries, assess whether we can support your request, provide agreed services, send updates where you have consented, manage client relationships, comply with legal obligations, and protect legitimate business interests.
Our legal bases under the EU General Data Protection Regulation (GDPR) are your consent (Article 6(1)(a)) for newsletter updates and for us to contact you about an inquiry; the performance of a contract, or steps taken at your request before a contract (Article 6(1)(b)), where we provide agreed services; and our legitimate interests (Article 6(1)(f)) in operating and improving our consultancy. You can withdraw consent at any time without affecting processing carried out beforehand.
4. How long we keep your data
We retain newsletter data for up to 24 months from the date you register, or until you withdraw consent, whichever comes first. Inquiry and client data is retained for as long as needed to handle your request, deliver agreed services, and meet legal obligations. After the applicable period, or upon your request where no legal obligation requires retention, your data is permanently deleted.
5. Where your data is stored
Your data is stored in a database hosted on Cloudflare infrastructure within the European Economic Area. Cloudflare acts as a data processor on our behalf under GDPR-compliant terms. We do not sell your data or share it with advertisers. We only share data with processors that help us operate the website and deliver agreed services under GDPR-compliant terms, or where required by law.
6. Your rights under GDPR
You have the right to:
- Access: request a copy of the data we hold about you
- Rectification: ask us to correct inaccurate data
- Erasure: ask us to delete your data at any time
- Withdraw consent: at any time, without affecting prior processing
- Restriction: ask us to limit how we process your data
- Portability: receive your data in a machine-readable format
- Object: object to the processing of your data
